Drawer short at closing? Close the shift and find out why

Step by step: open a shift, count the drawer by note, and record any shortage or overage under whoever ran it, in Mobilat.

You count the drawer at the end of the day and it is short. Nobody remembers why. The cashier says he made no mistake, and you can't prove anything. This happens in many shops, especially when cash, Vodafone Cash, InstaPay and credit all run through the same day.

The fix isn't standing over the cashier. It is giving every shift a start, an end and a count, with every difference recorded under whoever ran it. Here is how Mobilat does that, and where it stops.

Why drawers come up short

Common causes:

  • A customer paid half cash and half Vodafone Cash, and the cashier entered it all as cash.
  • Change was taken from the drawer and never written down.
  • Two cashiers share one drawer and nobody owns it.
  • Wallet money got mixed with shop money.

Without a clear shift, there is nobody to ask.

One open shift per branch

In Mobilat a branch has only one open shift at a time, so two cashiers can't mix up one drawer. Every sale lands in the shift of the cashier who made it, so the system knows what the drawer should hold.

The daily steps

  1. Open the shift when work starts and enter the cash in the drawer.
  2. Work as normal. A sale can be split across cash, wallet and credit. Each part lands in its place: cash in the drawer, the wallet in its balance, credit on the customer's account.
  3. Close the shift and count the drawer by note.
  4. See the difference before you leave. The system knows what the drawer should hold, so any shortage or overage shows.
  5. The difference is recorded on the shift and on whoever ran it.

Wallet money without the mix-up

On the cash, wallets and shifts page, each network has its own balance: Vodafone Cash, Etisalat, Orange, WE and InstaPay. Commission and network fees are worked out from rules you set: percent, fixed, minimum and maximum. The transfer amount is not profit. Only your commission counts as income.

You can also set a daily and monthly limit per wallet.

Money you take for yourself

If you take cash out for yourself, record it as an owner withdrawal. It is tracked separately, isn't counted as an expense and doesn't reduce profit, so it won't wreck the shift numbers.

When you're not in the shop

If a shift closes with a difference, the app sends a notification to your phone even when it is closed. It goes only to people with the permission. You know right then, not the next day.

The limits

  • The system records the difference and who ran the shift, but it doesn't tell you the cause by itself. You still check the sales and movements.
  • Nothing is deleted. A mistake is fixed with a reversal under the name of whoever made it.
  • Selling needs internet. If the connection drops, the sale in progress stays saved on the device until you're back.

A practical habit

Make the drawer count a fixed step before every handover. With several cashiers, have them count in front of you or send you the result. Then check the profit reports to see shift variance next to the rest of your numbers.

Frequently asked questions

Can two cashiers work on one drawer?

No. A branch has one open shift at a time, so responsibility is always clear.

If the drawer is short, is it deducted from the cashier?

No. The difference is recorded on the shift and on whoever ran it, and you decide what to do.

How is Vodafone Cash commission calculated?

From rules you set per network: percent, fixed, minimum and maximum. You can adjust it on the transaction itself.

Do my own withdrawals affect profit?

No. Owner withdrawals are tracked separately and don't reduce profit.
